Safeguarding & Vetting Policy

Safeguarding at the Bristol Running Show

Our gatherings are built on trust, openness, and respect. To honour that, we’ve introduced a clear safeguarding framework that reflects our commitment to safe, inclusive spaces for runners, coaches, and guides. This page sets out the simple declarations we ask of exhibitors and speakers, and the principles we hold ourselves to. It is not about bureaucracy, but about care: ensuring that everyone who joins us can do so with confidence, knowing that wellbeing and integrity are at the heart of our events.

Purpose
To ensure that exhibitors, speakers, and volunteers at community events uphold safeguarding standards and contribute positively to the running community.
Scope
Applies to all exhibitors, speakers, and volunteers participating in events organized under the Bristol and Cardiff Running Show’s and related initiatives.
Policy
• Safeguarding Declaration: All exhibitors and speakers must confirm they are not subject to bans, suspensions, or safeguarding restrictions from any governing body.
• Speaker Criteria: Speakers are selected for their experience and contribution to the sport and community. Coaching qualifications are only required if sessions are advertised as formal coaching courses.
• Exhibitor Criteria: Exhibitors must align with the ethos of the event and demonstrate relevance to the running community.
• Reporting: Any safeguarding concerns raised during or after the event will be escalated to Sport Wales and Welsh Athletics.
• Review: This policy will be reviewed annually and updated in consultation with relevant governing bodies.

Closing Statement
Safeguarding is part of our wider commitment to care, fairness, and transparency. By holding ourselves and our partners to these standards, we create spaces where running can flourish as a source of connection, wellbeing, and trust
