Bristol Running Show – Terms & Conditions

These Terms & Conditions apply to all exhibitors, contributors, speakers, volunteers, and participants at the Bristol Running Show.

By applying to attend, exhibit, speak, or otherwise take part in the event, you agree to be bound by these terms.


1. Nature of the Event

The Bristol Running Show is a community-led event focused on running, wellbeing, and shared learning. It is not a competitive sporting event, coaching course, or medical service.

Content delivered at the show may include lived experience, discussion, opinion, and general guidance. It does not replace formal coaching, medical, therapeutic, or professional advice.


2. Safeguarding & Conduct

The Bristol Running Show is committed to providing a safe, respectful, and inclusive environment for all attendees.

All exhibitors, contributors, and participants must comply with the Bristol Running Show Safeguarding & Vetting Policy, which forms part of these Terms & Conditions.

Any behaviour that compromises the safety, dignity, or wellbeing of others may result in removal from the event without refund.


3. Exhibitor & Contributor Declarations

Exhibitors and contributors are responsible for ensuring that all individuals representing their organisation at the event are suitable to do so.

By participating, exhibitors and contributors confirm that:

  • They have read and agree to abide by the Safeguarding & Vetting Policy

  • No individual attending the event on their behalf is subject to a current suspension, ban, or safeguarding-related restriction imposed by a recognised governing body or safeguarding authority that would make their participation inappropriate

  • All declarations made during registration are accurate and complete

The organisers do not conduct background checks and rely on the accuracy of information provided.

These requirements apply equally to all participants and are not retrospective.


4. Coach’s Corner & Informal Guidance

Coach’s Corner is a conversational, drop-in space designed to lower barriers to guidance and discussion.

It does not provide formal coaching, assessment, diagnosis, or treatment. Interactions are informal, time-limited, and non-directive.

Participants remain responsible for any decisions they make following these conversations.


5. Qualifications & Expertise

Some contributors may hold formal coaching or professional qualifications; others may contribute through lived experience or community roles.

Where sessions are advertised as formal coaching or accredited activity, appropriate qualifications will be stated. Otherwise, inclusion at the event does not imply endorsement, accreditation, or professional status.


6. Applications, Acceptance & Withdrawal

All applications to exhibit, speak, or contribute are subject to approval by the organisers.

The Cardiff Running Show reserves the right to refuse or withdraw participation at any stage if:

  • Information provided is found to be inaccurate or misleading

  • Safeguarding concerns arise

  • Conduct is inconsistent with the ethos or safety of the event

In such cases, decisions are final and refunds are not guaranteed.


7. Changes to Programme or Venue

The organisers reserve the right to make reasonable changes to the programme, venue, or event format where necessary.

Where significant changes occur, participants will be informed as soon as practicable.


8. Liability

Participation in the Bristol Running Show is at your own risk.

The organisers accept no responsibility for loss, injury, or damage sustained during the event, except where caused by negligence under applicable law.

Participants are responsible for their own insurance where appropriate.


9. Photography & Media

Photographs, video, or audio recordings may be taken during the event for promotional and archival purposes.

By attending, you consent to reasonable use of such material unless you inform the organisers otherwise at the event.


10. Data Protection

Personal data will be handled in accordance with applicable data protection legislation and the Bristol Running Show Privacy Policy.


11. Acceptance of Terms

By attending, exhibiting, speaking, or contributing to the Bristol Running Show, you confirm that you have read, understood, and agree to these Terms & Conditions.
